Lawn Care Estimate Template: What Every Quote Should Include

Create clearer residential lawn service estimates by documenting scope, frequency, prices, conditions, and expectations.

Identify the property and decision-maker

Start an estimate with the business name and a way for the customer to identify the service provider. Include the customer or property manager’s name and the address where work will be performed. Record the quote date and, where appropriate, the date through which the proposed price remains valid. For multi-property customers, distinguish each location so visit rates are not confused.

Describe the exact work

Routine lawn mowing may involve mowing accessible grass areas, trimming around obstacles, edging, and blowing grass clippings off walkways. However, companies vary. A customer may assume bed weeding, leaf collection, chemical treatments, or disposal are included unless the estimate says otherwise. Write what is included, identify material exclusions, and clarify whether excessive growth or wet grass triggers a different price or a rescheduled visit.

State timing and frequency

A weekly route normally has different operating economics from an occasional one-time service. State whether the price is per visit, per month, or for a fixed season; if the schedule is biweekly, say every two weeks rather than twice per month. Define what happens when weather or holidays interrupt the planned day. If the property needs an initial reset before entering a recurring route, quote it separately.

Show the price and assumptions

Include the charge for ordinary visits and list optional services separately. Clarify sales taxes when relevant and verify whether they apply to the particular type of service and jurisdiction. Avoid presenting an estimate as an invoice: the estimate is a proposed scope and price, while an invoice requests payment for work performed or otherwise due.

For an internal cost check, include labor, equipment, driving time, supplies, and overhead rather than choosing a price only from lawn size. Our profit margin calculator helps translate total cost into a target selling price.

Use clear acceptance and follow-up

Make it easy for a customer to ask questions or approve a quote. The final contract or work order may also address payment timing, access instructions, pets, damaged equipment, property obstacles, rescheduling, and cancellation. These terms depend on the business and location; seek qualified advice as needed.

Our calculator’s PDF gives a concise starting document, not a legally binding template or complete service agreement. Review every field and add your own terms before sending it.
